Terms of Service
Last updated
These terms apply when a business ("you") signs up for and uses Innkeeper, the hospitality management software provided by [legal entity name and registration number] ("Innkeeper", "we"). By creating an account you agree to them.
1. The service
Innkeeper is cloud software for running hotels, guesthouses, resorts and restaurants. The features available to you depend on your plan, as described on our pricing page. We may improve and change features over time.
2. Free trial
New accounts get a 14-day free trial of the chosen plan. No payment details are needed for the trial. At the end of the trial you need a paid subscription to keep using Innkeeper.
3. Subscriptions and payment
- Prices are in Ghana cedis and are shown on the pricing page including the applicable platform taxes.
- Subscriptions are billed monthly or yearly in advance and renew for the same period unless cancelled. [Cancellation notice and refund policy: to be confirmed.]
- Some plan prices fall as more properties subscribe ("community pricing"), as shown on the pricing page.
- If a subscription lapses, access to the account is suspended until payment is made. Your data is kept during suspension. [Period before deletion: to be confirmed.]
- Payment gateway fees on payments your guests make to you are charged by the gateway, not by us.
4. Your account and staff
You are responsible for the users you create, the roles you give them, and keeping passwords confidential. Tell us promptly if you think an account has been misused.
5. Acceptable use
- Use Innkeeper only for lawful hospitality business purposes.
- Only send SMS, WhatsApp and email messages to guests who have given you their details for that purpose, and follow the messaging rules of each channel, including WhatsApp's Business Policy.
- Do not attempt to access other properties' data, disrupt the service, or reverse engineer it.
6. Your data
You own the data you and your guests put into Innkeeper. You are the data controller for your guests' personal data and we process it on your behalf, as described in our Privacy Policy. You are responsible for having a lawful basis to collect your guests' data and for responding to their requests. You can export reports and records while your account is active. [Data export and deletion on termination: to be confirmed.]
7. Availability and offline use
We work to keep Innkeeper available but do not guarantee uninterrupted service. [Uptime commitment, if any: to be confirmed.] Offline mode lets some actions continue without internet; these are saved on the device and sync when it reconnects. Data saved only on a device can be lost if the device is lost or its browser data is cleared before it syncs.
8. Third-party services
Payments, messaging and similar features rely on third parties such as payment gateways and messaging providers. Their own terms apply, and we are not responsible for their outages or decisions, such as a gateway declining a payment or WhatsApp rejecting a template.
9. Liability
[Limitation of liability, exclusion of indirect losses and a liability cap, for example fees paid in the previous 12 months: to be drafted by counsel.]
10. Ending the agreement
You can cancel your subscription at any time [notice period]. We may suspend or close accounts that breach these terms or are not paid. [Effect of termination: to be confirmed.]
11. Changes to these terms
We may update these terms. We will tell account owners about material changes before they take effect.
12. Governing law
These terms are governed by the laws of the Republic of Ghana, and the courts of Ghana have jurisdiction. [Dispute resolution, for example negotiation or mediation before court: to be confirmed.]
